Inclement Weather Policy

The safety of participants, volunteers, staff, and spectators is the highest priority of Irish Hills Gravel. Because bicycle racing takes place outdoors and is subject to variable weather conditions, the following policy will guide decisions regarding inclement weather:

  • General

    The race will be conducted as scheduled unless weather conditions present an imminent threat to the health and safety of participants or prevent safe operation of the event. Organizers will monitor conditions before and during the race and communicate updates promptly.

  • Communication of Changes

    Updates will be communicated via:

    PA announcements at the venue

    Text/email alerts (if participant system is in place)

    Official race website and social media channels

  • Weather Conditions Considered

    The following weather-related factors may affect the race:

    Lightning or severe thunderstorms in the race area

    Heavy rain, flooding, or standing water on the course

    High winds that compromise rider control or course structures (tents, barricades, etc.)

    Extreme heat or cold posing a risk of illness or injury

    Snow, ice, or hazardous road/trail conditions

  • Possible Actions

    Depending on the severity of conditions, the following actions may be taken:

    Delay: Postpone the start until conditions improve.

    Modify: Shorten the course, reroute, or adjust race format.

    Neutralize/Pause: Temporarily stop riders on course until safe to continue.

    Cancel: If conditions make the event unsafe or unfeasible.

  • Decision-Making Authority

    The Race Director, in consultation with local law enforcement, emergency services, and course officials, has final authority to delay, modify, or cancel the event.

  • Refunds & Transfers

    Because most race expenses are incurred prior to race day, no refunds will be issued in the event of cancellation due to weather. At the discretion of the organizers, partial credits or deferrals may be offered for future events.

  • Participant Responsibility

    All riders are responsible for preparing for variable weather, including appropriate clothing, hydration, and equipment. Riders should exercise personal judgment and may choose not to start or to withdraw if conditions exceed their comfort level. here

  • Acknowledgment

    By registering, participants acknowledge this Inclement Weather Policy and accept the inherent risks associated with outdoor bicycle racing.
